We have updated our Privacy Policy to meet the new General Data Protection Regulations (GDPR) that came into effect on 25th May 2018.
 
This Privacy Policy is intended to provide information about how Funjabi Tuition will use, or ‘process’, personal data about individuals including: its current, past and prospective students and their parents, carers, guardians or wider family members (for instance siblings or other extended family members who may be named as emergency contacts) - referred to in this notice as ‘parents’. 
 
Personal information is information that identifies you as an individual and relates to you. This makes Funjabi Tuition a data controller of your personal information, and this Privacy Policy sets out how we will use that information and what your rights are. Parents are encouraged to read this Privacy Policy and understand the Funjabi Tuition’s obligations.

Requests and enquiries concerning the Funjabi Tuition’s uses of your personal data should be directed to your assigned tutor in the first instance.  
 
How Funjabi Tuition collects your information 
Generally, Funjabi Tuition receives personal data from the individuals directly (including, in the case of students, from their parents). This may be via an application form or simply in the ordinary course of interaction or communication, such as email. 
 
The types of information we may collect 
We may collect the following types of personal data about you (and your family members and 'next of kin', where relevant): 
• names, addresses, telephone numbers, e-mail addresses and other contact details; 
•  date of birth; 
• past, present and prospective student’s academic, admissions and attendance 
records (including information about any special needs), and examination scripts and marks; 
• images of students work (and occasionally other individuals) engaging in Funjabi Tuition activities, and 
• information concerning health and medical conditions 
 
Why it is necessary for Funjabi Tuition to collect Personal Data 
In order to carry out its ordinary duties to students and parents, the Funjabi Tuition needs to process a range of personal data about individuals, including current, past and prospective students or parents, as part of its daily operation. 
 
Sharing information with others 
Funjabi Tuition does not share any details on file with any third-party companies and institutions. 
Occasionally, student work will be shown to external examiners/professors for quality checking and assessment. In which case, no personal details will be shared about the student, only their first name and Funjabi Tuition work. 
 
How long we keep personal data 
Funjabi Tuition will retain personal data for as long as necessary in order to tutor and look after students. Funjabi Tuition will keep some information after a student has completed their sessions, for example to refer back to a complaint. If you have any specific queries about how our Information and Records Retention policy is applied, or wish to request that personal data that you no longer believe to be relevant is considered for erasure, please contact Funjabi Tuition. 
 
Keeping in touch and supporting Funjabi Tuition 
Funjabi Tuition may retain contact details of parents and past students to keep them updated about the activities of Funjabi Tuition, or to promote events of interest, or to promote and raise funds for Funjabi Tuition. Parents and students have the right to withdraw consent, where given, or otherwise object to direct marketing or fundraising. 
 
Your Rights
Rights of access, rectification, portability and deletion. Individuals have various rights under Data Protection Law to access personal data about them held by Funjabi Tuition, and in some cases to ask for it to be erased or amended or have it transferred to others, or for the Funjabi Tuition to stop processing it – subject to certain exemptions and limitations. 
 
Rectification: if information is incorrect you can ask us to correct it. 
 
Deletion: you can ask us to delete the information that we hold about you in certain circumstances. 
 
Restriction: our use of information about you may be restricted in some cases. For example, if you tell us that the information is inaccurate we can only use it for limited purposes while we check its accuracy. 
 
Object: you may object to us using your information where:
a. we are using it for direct marketing purposes;
b. the legal basis on which we are relying is either legitimate interests or performance of a task carried out in the public interest. 
 
You will not have to pay a fee to access your personal information (or to exercise any of the other rights). However, we may charge a reasonable fee if your request for access is clearly unfounded or excessive. Alternatively, we may refuse to comply with the request in such circumstances. 
 
Requests that cannot be fulfilled
You should be aware that the right of access is limited to your own personal data, and certain data is exempt from the right of access. This will include information which identifies other individuals or information which is subject to legal privilege. 
 
Funjabi Tuition is also not required to disclose any student test scripts or provide test marks ahead of any ordinary publication, nor share any confidential reference given by Funjabi Tuition itself for the purposes of the education, training or employment of any individual. 
 
However, we may have a compelling reason to refuse a request to amend, delete or stop processing your, or your child's, personal data: for example, a legal requirement, or where it falls within a legitimate interest identified in this Privacy Policy. All such requests will be considered on their own merits. 
 
Consent
Where Funjabi Tuition is relying on consent as a means to process personal data, any person may withdraw this consent at any time (Any use of your information before you withdraw your consent remains valid). We may ask for your consent to use your information as an alternative to relying on any of the bases above.

Data accuracy and security 
Funjabi Tuition will endeavour to ensure that all personal data held in relation to an individual is as up to date and accurate as possible. Individuals should notify Funjabi Tuition of any significant changes to important information, such as contact details, held about them. 
 
An individual has the right to request that any out-of-date, irrelevant or inaccurate or information about them is erased or corrected. Funjabi Tuition will take appropriate technical and organisational steps to ensure the security of personal data about individuals, including policies around the use of technology and devices, and access to systems. 
 
This Privacy Policy  
Funjabi Tuition will update this Privacy Policy from time to time. Any substantial changes that affect your rights will be provided to you directly as far as is reasonably practicable.
